Feedback Surveys – Invaluable Information

Once the event is completed, take one last step and give yourself the opportunity to collect invaluable feedback that can provide information about the event itself and connect people even closer with the organization.

Post-event feedback surveys can be an incredible source of insight about the event but take it a step further with calls to action, suggestions for future events, and more. With an easy template survey form you can set it up once and quickly send post-event.

Email System

If you don’t already have an email system (CRM), it’s time to get one. There’s lots of great options like Mailchimp or Constant Contact at different price points but this tool is essential to your organization’s growth.

Setup a template called “Post Event Survey” that has:

  • a greeting,
  • an Event Summary section where you can add a short description of the event saying how great it was, thank attendees, volunteers, etc.,
  • a section saying you’d like feedback from attendees and non-attendees where you’ll add the link and the response due date generally 1-2 weeks later
  • closing and signature

After the event, ensure your attendees’ emails are added to the CRM then open the template, customize the information, add the link, and send to whatever email list you wish.

Form

There’s a wide variety of form software platforms available on the market with different features and price points but you don’t need anything fancy for this process. Start with a Google Form or Cognito Forms and create the survey (name it for the event and date) then send the link to someone for them to fill it out as a test to ensure all the fields are working as needed. When it’s ready, add the link to your email template and be sure to send a reminder email a few days before the due date.

Survey Results

All this data is pointless unless you do something with it. Once the survey has closed, export the responses to a spreadsheet and send it to staff members in charge of events or programming, marketing staff, Board Members, anyone who could use the information to plan future events, coordinate volunteers, etc. and file the survey results for future reference.

  1. For attendees – feedback on the event itself
    • Registration process
    • Speaker(s)/activity
    • Favorite part of the program
    • Any challenges
    • Value for price
    • Would they recommend the event/activity to a friend or colleague?
  2. Non-attendee feedback
    • Why didn’t they attend? (Date conflict, topic not interesting, cost, etc.)
    • Would they attend future events on this topic?
    • Other
  3. Other questions to ask
    • Are they interested in volunteering? (collect their name and email)
    • Topics for future events, speakers, etc.
    • Quotes to use in marketing materials
    • Would you recommend this organization to a friend or colleague?
    • Other
